Additional Terms & Conditions:

Please note the terms and conditions set out on this website are not exhaustive. Your attention is drawn to additional terms and conditions on the actual hire agreement which will be issued to the hirer or in the case of the company, the hirer’s representative.

Out of hours service:

Please note we only allow collections out of hours, not drop offs. All vehicles must be returned in working hours to allow for check in. The contact number for out of hours service 01642 633655.
Collections outside of business hours will incur an administration charge of £25+VAT

Inspections:

If any vehicle is returned during darkness / adverse weather inspections will be carried out the following day during daylight hours, the hirer will remain responsible for the vehicle until it is checked and signed off by us.

Mileage Allowances:

All vans include fair usage mileage, ask branch for details

All cars include 100 miles free a day,

Renters Ages:

All renters must be aged between 25-69 for cars and 25-69 for vans with a minimum of 3 years’ driving experience on a full license 15 & 17 seaters drivers require category D1 on their license

Luton Vans:

For your safety and convenience, all our Luton vans are fitted with a reversing camera and internal viewing screen. These MUST be returned complete and intact. A minimum charge of £200 + VAT will be made for missing and/or damaged equipment howsoever caused. 

Smoking / Pets & Returning Vehicles:

ALL RENTAL VEHICLES MUST BE RETURNED CLEAN AND REFUELLED TO THE LEVEL INDICATED ON YOUR RENTAL DOCUMENTS.  A £25+VAT MINIMUM CHARGE WILL BE APPLIED TO ANY VEHICLE REQUIRING CLEANING OR REFUELLING BY US WHEN THE VEHICLE IS RETURNED

SMOKING IN RENTAL VEHICLES IS PROHIBITED

NO PETS ARE ALLOWED TO BE CARRIED IN ANY RENTAL VEHICLE

Employment

Please note, due to insurance regulations we are only able to hire vehicles to persons in employment. We reserve the right to ask for proof of employment (payslips, work address details etc). Where proof of employment is not available any subsequent cancellations will be in line with our standard cancellations procedure.

You must bring with you:

  • Photocard driving licence. Old paper style licence holders must also bring in a valid photo i.d. (passport / work i.d. card etc.).
  • Proof of employment (payslips / bank statement where salary is paid / work i.d card / work contract).
  • National Insurance number.
  • Two proofs of address dated within the last three months (bank statements / utility bills) – if unsure please contact us for advice.
  • Debit or credit card in your name for the payment of the rental.

Please note if you do not bring these documents we will not be able to proceed with your booking and you may be charged a cancellation fee.

VEHICLE RECOVERY & HUMAN ERROR BREAKDOWN:

In the event a vehicle has to be recovered by us due to overdue return or non-payment of rental charges or if we receive information that the vehicle has been misused or driven erratically or by an unauthorised driver, the renter will be liable to us for the cost of recovering our vehicle at £210.00 + VAT. Mileage incurred recovering the vehicle will be charged at £2.20 + VAT per mile. Vehicle storage will be charged at £25.00 + VAT per 24hrs. These charges will also be applicable in addition to any charges made by the police or other authority should the vehicle be impounded whilst in the hirers possession. In the event that we pay the police and/or authority, the hirer will re-imburse us.

Should the vehicle break down as a result of ‘human error’, the hirer will re-imburse us the full cost of attending the breakdown and recovering/repairing the vehicle. ‘Human error’ includes but is not limited to incorrect fuelling, flat battery due to lights being left on, kerbed/damaged wheels and tyres and lost or damaged keys. We reserve the right to withhold hire deposits until the cause of vehicle breakdown has been determined. 

COLLISION DAMAGE WAIVER (CDW):

Collision Damage Waiver (CDW) is available at a cost of £10.00 per day (inc VAT)and can only be purchased at the start of rental. CDW cannot be purchased part-way through any rental agreement. Collision Damage Waiver is NOT available for Luton vans. Please note even if CDW is purchased, different rates of excess apply if the vehicle is stolen or written off.

SACK BARROW (TROLLEY) HIRE:

We offer sack barrow hire from £6 per day (inc VAT). Sack barrows must be returned when the hired vehicle is returned. Any damaged and/or missing sack barrow will be charged minimum £150.00 + VAT. Sack barrow hire subject to availability. No liability is accepted by FL (NE) LIMITED for any loss or injury caused by a sack barrow supplied by us whether directly or indirectly at fault. Safe use of the sack barrow is entirely the responsibility of the hirer. 

CUSTOMER SERVICE TIMES

Whilst we will endeavour to complete bookings for the agreed date and time, we operate a ‘first come first served’ basis which means during busy periods there may a short delay while we serve other customers. Please note this does not affect the booking collection and return dates/times.

CAN I CANCEL MY BOOKING?

If your travel plans change, you may normally cancel your booking free of charge anytime up until 48 hours before your rental is due to start except rentals commencing on a Monday which require 48 hours notice of cancellation. Please check with your renting site if the local terms are different.

If you fail to pick up your car or van on the day your rental is due to start, or do not cancel with more than 48 hours notice prior to the time it is due to start, you will be required to pay at least £100.00.  Cancellations must be made in writing and confirmed by us.

Early returns are accepted however no refunds are given for unused periods of hire. 

Vehicles are subject to availability. If not available a free upgrade to the next vehicle group will be offered. The location you want to book with will give you a minimum 48 hours’ notice in the event that they have to cancel your booking in extreme unforeseen circumstances, Cancellation would only occur after every effort has been made to source an alternative vehicle/transport and where a free upgrade would not be appropriate.

If the vehicle is NOT collected within two hours of the booking time the booking will be automatically cancelled without notice and will be charged.

A full refund will be processed, less credit/debit card processing charges, for all UK based vehicle hire bookings cancelled up to 48 hours before the hire commences. Cancellations of less than 48hrs working days will be charged minimum £100.00 (The same applies for no shows and wrong documents or anything that will restrict us from carrying the booking out).

Unfortunately we are not able to amend bookings with less than 48 hours notice and the full rental agreement charge will remain payable. You are however welcome to return the vehicle earlier than the agreed return date and time. 

 

Returning your rental vehicle:

All returns must be made by 4pm. Any early returns must be authorised and agreed by us at the time of rental.
